The Tax Clerical unit is responsible for establishing, maintaining, inactivating and terminating Unemployment Insurance (UI) tax accounts, processing correspondence (both written and oral) regarding the above issues. The unit maintains and works error Pending Files and manages Tax Employer Service Unit’s incoming telephone lines.
Description of Work:
This position maintains the UI Tax pending file by moving misplaced UI Tax reports and monies to the correct account. This work is a direct result of a document, submitted by an employer that errors off to the pending file. The following reasons will cause a document to error off: employer that is not liable, employer account number is not found, no slot is built for the quarter, the employer is a Non-Profit entity, money received without a quarterly report or a bill, incorrect account number, report is sent for an incorrect quarter, money received late and the report is already on the system (the money does not always connect with the report). When an error occurs, each document must be researched to determine why the document failed to process properly. Extensive knowledge of the Employment Security Law must be applied with issues involving liability, non-profit entities, business closing, business sold or placed in suspense. If the law is not properly applied, it could mean a detriment to the employer resulting in the employer being audited and back taxes being owed. Attention to detail must be employed to alleviate erroneous information being applied to an incorrect account. The Tax Clerical unit is also responsible for Department Employment Security (DES) account maintenance in which we process requested changes to employers account. This includes inactivation’s, Power of Attorney’s, name changes, address changes, federal identification number changes, prepping and uploading completed work into our internal imaging system CARA. This position is responsible for answering the telephone and assisting employers with access to their on-line accounts and resetting account pin numbers. This positions duty also includes dealing with the quarterly mail rush. The work schedule for this position is Monday through Friday, 8 a.m. – 5 p.m. and may work overtime occasionally to meet business need. This position is physically located at 700 Wade Avenue, Raleigh, NC 27605.
