Senior Manager, Payroll & Compliance

Alma is looking for a mission-driven, hard-working team member who is passionate about making mental health more affordable and is excited to work with our Finance, Accounting, and People & Culture Teams. The successful candidate will be able to ensure a high level of detail and accuracy, can work quickly and efficiently across multiple systems and browsers, and has great communication skills. The Senior Manager, Payroll & Compliance will report to the Director of Accounting.

What you’ll do:

  • Process payroll for all exempt and nonexempt employees (a remote first and distributed company).
  • Certify systems are established to optimize workflow, maximize technical efficiencies, secure data, and assist with new payroll enterprise resource planning (ERP) implementation.
  • Assure all Federal, State and Local payroll tax liabilities and associated regulatory tax filings are completed 100% accurate and on time.
  • Review and analyze payroll tax procedures; apply continuous improvement methods to streamline processes and mitigate risk.
  • Manage and audit W-2s and yearly administration of payroll in preparation of the following calendar year.
  • Work closely with HR business partners and other departments to ensure that Benefit and Payroll changes are processed and completed in a timely manner, including new hires/terminations and to consolidate payroll into company-wide processes.
  • Maintain and establish pay policies, payroll calendars, payroll checklists and process and other procedural documentation.
  • Automate all aspects of payroll including timesheets for a large non-exempt workforce, report generation, error and exception reports, payment remittances for various benefits, and general ledger integration.
  • Create and implement training for organization-wide staff on use of new payroll ERP
  • Coordinate and manage entire payroll function, including answering payroll related questions and resolving issues that arise.
  • Communicate actively with department heads, Accounting, People & Culture, and Finance to ensure proper compliance with internal and external policies and coding from a budgetary perspective.
  • Mentor junior team members supporting payroll.
  • Develop and manage regular preparation of relevant reports, including weekly, monthly, quarterly and year-end reports periodic reports of earnings, taxes, and deductions.

Who you are:

  • You are organized, detail-oriented, with the ability to prioritize work effectively.
  • You have knowledge of payroll systems and have worked through an ERP implementation before.
  • You have a minimum of 5 years’ experience managing all payroll tax responsibilities for multi-jurisdiction payrolls across multiple employees, including quarterly tax filings and processing tax return amendments.
  • You may have CPP, CPM, or other related professional certifications (huge plus).
  • You’re knowledgeable of current payroll procedures and related laws.
  • You’re knowledgeable in handling confidential business matters and information with discretion.
  • You’re able to prioritize in a fast-moving, high pressure, dynamic environment, and have a high sense of urgency and attention to detail.
  • You have multi-state payroll working knowledge.
  • You are excited to help us hire and scale an in-house payroll team, and you may have managed payroll teams in the past.
  • You have strong working knowledge of Microsoft applications, such as Excel (pivot tables, vlookup and formulas, spreadsheets).
  • You are passionate about our mission and making mental healthcare more accessible.

Salary Band: $125,000 – $160,000
